How Cat Media, the team behind furball, collects, uses and protects your personal data, and the choices you have.

Last updated 1 November 2026

Who we are

furball is developed and operated by Cat Media Ltd (“Cat Media”, “we”, “us”), a company registered in Ireland. This policy explains how we handle personal data when you visit furball.tech, contact us, attend our events, or sign in to thefurball platform at app.furball.tech or furball Data Ingestion Studio at imports.furball.tech.

For the personal data described here, Cat Media is the data controller. When you use furball to audit, deduplicate, standardise or import records in your own CRM, you remain the controller of that data and we act as your processor. That processing is described in our data processing statement.

Data we collect

Depending on how you interact with us, we may collect:

  • Contact details, such as your name, email address, company, job title and phone number.
  • Account information, such as the name, email address and organisation provided when you sign in with Microsoft Entra ID, and the HubSpot portals, roles and approvals linked to your account.
  • Technical data, such as your IP address, browser, device, internet service provider, the pages you visit and when.
  • Communications, such as emails, meeting details and, where you agree, call recordings, transcripts and AI-generated meeting notes.
  • AI interactions, such as the prompts you enter and the responses you receive when you use AI-assisted features.

We don’t ask for special category data, such as health information, and we ask you not to send it to us outside an agreed service.

How we collect it

  • From you, when you complete a form, book a meeting, register for a webinar, download a resource, answer a survey or sign in to furball.
  • Automatically, through cookies, similar technologies and the logs our services keep to run securely.
  • Through the tools we work in, including HubSpot, Microsoft 365 and our meeting platforms, when we communicate with you.

How we use it

We use personal data to:

  • provide, secure and support furball, including managing sign-in, portal access and approvals
  • deliver the services you ask for, including managed imports and data projects
  • respond to enquiries and arrange meetings, demos and events
  • send product updates, insights and invitations you’ve agreed to receive
  • understand how our website and products are used, so we can improve them
  • meet our legal, accounting and regulatory obligations

AI and automated decisions

Some furball features and some of our internal tools use AI. We only use enterprise AI services, such as Microsoft Azure OpenAI, never consumer accounts, and the providers we use don’t train their foundation models on your data. AI assistance in furball Data Ingestion Studio stays off until you turn it on.

We don’t make decisions with legal or similarly significant effects about you based solely on automated processing. People review and remain responsible for the work AI supports.

Sharing your data

We don’t sell personal data. We share it only:

  • with service providers that process it for us under contract, such as HubSpot and Microsoft
  • with partners, such as a co-host of a webinar you register for, when you’ve agreed
  • with professional advisers, auditors, or authorities where the law requires it
  • with a successor, if our business is reorganised or sold, under the same protections

Storage and international transfers

We store personal data in HubSpot, Microsoft 365 (including SharePoint and OneDrive) and Microsoft Azure. These providers maintain independent security certifications and reports, such as ISO/IEC 27001 and SOC 2.

We prefer to process data in the EU, the EEA or the UK. Where data is transferred elsewhere, we rely on adequacy decisions, the European Commission’s Standard Contractual Clauses, or other approved safeguards, supported by transfer impact assessments where required.

How long we keep it

We keep personal data only for as long as we need it for the purposes above, including to meet legal, accounting or reporting requirements. When it’s no longer needed, we delete or anonymise it. If you close your furball account, we remove your access and delete account information after any period the law requires.

Keeping it secure

Access to personal data is limited to people who need it for their work, and they’re bound by confidentiality. We use encryption, strong identity controls and managed devices, described on our security page. If a personal data breach occurs, we follow our incident procedure and notify the Data Protection Commission and affected individuals where the law requires.

Marketing choices

You can stop marketing emails at any time with the unsubscribe link in each message, or by contacting us. We’ll still send messages you need about your account or services you use.

Your rights

Subject to the conditions in data protection law, you have the right to:

  • access the personal data we hold about you
  • correct data that’s inaccurate or incomplete
  • ask us to erase your data
  • restrict or object to how we use it, including for direct marketing
  • receive your data in a portable format
  • withdraw consent, without affecting earlier processing

Submit a request through our data privacy request form, email legal@catmedia.ie, or call (+353) 1 263 0390. We’ll respond within one month, which may be extended for complex requests. We may need to verify your identity, and we don’t usually charge a fee.

You can also complain to the Data Protection Commission in Ireland or your local supervisory authority, although we’d appreciate the chance to help first.

Cookies

Our website uses cookies and similar technologies, including HubSpot tracking, for these purposes:

  • Necessary, to run the site securely and remember your cookie choices.
  • Analytics, to understand how visitors use the site.
  • Functionality, to remember preferences and support features such as forms.
  • Advertising, to measure campaigns and show relevant ads with partners such as Google, LinkedIn and Meta.

Where the law requires it, we ask for your consent before setting non-essential cookies, and you can withdraw it at any time. You can also block or delete cookies in your browser settings, although some features may not work.

Children

furball and our services are designed for businesses and aren’t directed at children. We don’t knowingly collect their data.

Changes and contact

We may update this policy as our services or the law change. We’ll post the new version here with its date, and tell you directly about significant changes where appropriate.
